Microsoft 365 Security 101 · Reference

Microsoft 365 security is delivered through a combination of Microsoft Defender threat protection, Microsoft Entra ID identity controls and Exchange Online Protection mail filtering, configured together rather than relied on individually out of the box.

The article above covers the fundamentals of protecting a Microsoft 365 tenant; this reference section focuses specifically on the three controls most often missing from a default Microsoft 365 setup: Microsoft Defender coverage, Microsoft Entra ID conditional access, and Exchange Online Protection.

Microsoft Defender coverage

Microsoft Defender for Office 365 extends Exchange Online's baseline mail filtering with safe links, safe attachments and anti-phishing policies that inspect content and links at the time a user clicks them, not only at delivery. Microsoft Defender for Endpoint covers devices — laptops, desktops and mobile phones — detecting malware, suspicious behaviour and unmanaged devices connecting to company data. Microsoft Defender for Identity and Microsoft Defender for Cloud Apps extend that same protection to on-premises identity and to third-party cloud services staff sign into with their Microsoft 365 account.

Licensing determines which Defender components are included; many smaller Microsoft 365 plans include only baseline Exchange Online Protection and need Defender add-ons layered on for endpoint and identity coverage.

Microsoft Entra ID conditional access

Microsoft Entra ID conditional access sets rules for how and when a sign-in is allowed — for example, requiring multi-factor authentication for logins from outside the British Virgin Islands, blocking legacy authentication protocols that cannot support multi-factor authentication, or requiring a managed and compliant device before granting access to SharePoint. Without conditional access, a stolen password alone is often enough to access a Microsoft 365 account; with it, a stolen password alone is not.

Exchange Online Protection and secure score

Exchange Online Protection is the mail filtering layer built into every Microsoft 365 mailbox, screening for spam, malware and known bad senders before a message reaches the inbox. It is a baseline, not a complete defence, which is why it is normally paired with Microsoft Defender for Office 365 for link and attachment inspection.

Microsoft Secure Score gives a single measurable figure for a tenant's security configuration against Microsoft's recommendations, and is the tool Fresh Mango and our specialist practice, Complete Cyber Security, use to track improvement over time and demonstrate progress to management.

Frequently asked questions

What is the difference between Exchange Online Protection and Microsoft Defender for Office 365?

Exchange Online Protection is the baseline mail filter included in every Microsoft 365 mailbox, screening for spam and known malware before delivery. Microsoft Defender for Office 365 adds safe links and safe attachments that inspect content at the moment a user clicks, plus anti-phishing policies, and is licensed separately from baseline Exchange Online Protection.

What does Microsoft Entra ID conditional access actually do?

It applies rules to sign-in attempts based on conditions such as location, device compliance and application, and can require multi-factor authentication, block risky sign-in patterns, or deny access outright. It is the control that stops a stolen password alone from being enough to access a Microsoft 365 account.

Is Microsoft Secure Score a good measure of how secure we are?

It is a useful directional measure of configuration against Microsoft's recommendations, not a complete security audit. A high Secure Score reflects well-configured Microsoft 365 settings but does not account for backup resilience, staff awareness or endpoint protection outside Microsoft's own tools, which need separate assessment.

Do we need Microsoft Defender if we already have antivirus software?

Traditional antivirus alone does not cover email link and attachment inspection, identity risk detection or cloud application monitoring, all of which Microsoft Defender for Office 365, for Identity and for Cloud Apps address. Most businesses need Defender's Microsoft 365-specific coverage alongside, not instead of, endpoint protection.

Where does Microsoft Power Platform fit into Microsoft 365 security?

Power Apps, Power Automate and Power BI can move and store business data outside SharePoint and Exchange if left ungoverned, so Microsoft 365 security should include Power Platform data loss prevention policies and environment governance, not just mailbox and endpoint controls.

Microsoft 365 Security 101: A Beginner’s Guide to Mastering Passkeys and Entra

A high-tech digital padlock and fingerprint scan symbolizing Microsoft 365 security

Does the word "cybersecurity" make you want to close your laptop and hide under your desk? We get it. For many small and medium business owners, keeping up with the latest tech jargon feels like a full-time job you didn't apply for. But here is the thing: securing your business doesn't have to be a headache.

At Fresh Mango Technologies, we believe that the best security is the kind that works in the background without getting in your way. Today, we’re breaking down two of the most important tools in your Microsoft 365 arsenal: Microsoft Entra and Passkeys.

Why should you care? Because these two tools are essentially the high-tech locks and keys to your digital office. Let’s dive in and see how they can make your workday safer and simpler.

What on Earth is Microsoft Entra?

If you use Microsoft 365 for your email, Teams, or document storage, you’re already using Entra, you just might not know it yet.

Think of Microsoft Entra ID (formerly known as Azure AD) as the "Front Door" to your business. When you or your employees try to log in to your company email or access a file on OneDrive, Entra is the security guard standing at the entrance. Its job is to check your ID and make sure you are who you say you are before letting you in.

Why is this a problem if you don't manage it? Without a properly configured "guard," anyone with a stolen password can walk right into your digital office and look through your files. Entra allows us to set rules, like "only let people in if they are using a company-approved laptop" or "ask for extra proof if someone is logging in from a new country."

Meet the Passkey: Your Password’s Cooler, Stronger Sibling

We’ve all been there: you’re trying to log in, but you can’t remember if your password has an exclamation point or a dollar sign at the end. You reset it, get frustrated, and lose ten minutes of your morning.

What if you could ditch passwords entirely? That’s where Passkeys come in.

A passkey is a digital credential that is stored directly on your device, like your laptop, your phone, or a dedicated security key. Instead of typing a long string of letters and numbers, you simply use what you already have. You unlock your device with your face (FaceID), your fingerprint, or a simple PIN, and voilà!: you’re signed into Microsoft 365.

Why are Passkeys better?

  • They are "Phishing-Resistant": This is the big one. If a hacker sends you a fake login page that looks exactly like Microsoft, a passkey won't work on it. The passkey is tied to the real Microsoft website, so it simply refuses to "talk" to the fake one.
  • No More Forgotten Passwords: Since there's nothing to type, there's nothing to forget. This means fewer calls to the IT desk and more time actually working.
  • Built-in Multi-Factor Authentication (MFA): To use a passkey, you need two things: your physical device (something you have) and your fingerprint or PIN (something you are or know). You get top-tier security in one quick step.

Why SMBs Need This Now

You might think, "I'm a small business in the BVI; hackers aren't looking for me." Unfortunately, that’s exactly what they want you to think. Small businesses are often seen as "easy targets" because their security might be a bit more relaxed than that of a giant corporation.

By mastering Entra and Passkeys, you aren't just adding a lock; you're building a fortress. This level of security is a key part of our Cyber Baseline certification, a standard we use to show that your business is following the best possible security practices. It’s about being proactive rather than waiting for something to go wrong.
