The software a business needs depends on its size, sector and how it works, but every business should decide across the same six categories: productivity, accounting, sector-specific applications, document management, AI assistants and security, choosing one tool per category to avoid overlapping subscriptions.

Start with business type and size

A five-person retailer, a twenty-person trust company and a hotel with seasonal staff need very different software, even though all three are 'small businesses'. Size drives licensing cost and administrative overhead; sector drives which regulated or specialist applications are non-negotiable — corporate services and trust businesses, for example, must run compliance and registry systems that a retailer never needs.

  • Productivity and collaboration — Microsoft 365 (Outlook, Word, Excel, PowerPoint, Microsoft Teams) as the default for email, documents and meetings.
  • Accounting and finance — a cloud accounting package suited to the business's size and currency needs, integrated with bank feeds where possible.

Avoiding overlapping subscriptions

The most common waste we find during a software review is duplication: a business paying for Microsoft Teams and a separate video conferencing tool, or for OneDrive and a separate file-sharing subscription doing the same job. Each overlap adds cost, a second password to manage, and a second place data can leak from.

The fix is to standardise on the Microsoft 365 platform for everything it already covers — email, chat, meetings, file storage, collaboration — and only add a specialist tool where Microsoft 365 genuinely cannot do the job.

Frequently asked questions

What software does a small business in the BVI actually need?

At minimum: Microsoft 365 for email and productivity, a cloud accounting package, endpoint protection and email filtering, and backup for critical documents. Beyond that, add only the sector-specific applications the business genuinely relies on, and avoid subscribing to a second tool that duplicates something Microsoft 365 already provides.

How do I know if I'm paying for overlapping software?

List every active subscription against the six categories — productivity, accounting, sector applications, document management, AI, security. Any category with more than one tool doing broadly the same job is an overlap worth investigating, particularly video conferencing, file sharing and chat tools running alongside Microsoft Teams.

Should every business use Microsoft Copilot?

Not automatically. Copilot is worthwhile where staff spend real time drafting documents, summarising meetings or analysing spreadsheets, and where the underlying Microsoft 365 tenant is properly licensed and secured.
