What software should every business laptop have in 2026?

Is free antivirus enough for a business PC?

No. Free consumer antivirus relies mainly on known-file signatures and offers no central visibility, alerting or response. Business devices need managed endpoint protection such as Microsoft Defender for Endpoint, which detects suspicious behaviour and lets an IT provider respond to a threat across every device at once.

Do all staff need the same software?

The core standard build should be identical for consistency and support, but role-specific applications — accounting software, design tools, sector-specific systems — are added on top for the staff who need them. Licences for those add-ons should still be tracked in the same asset register.

Can we use personal Microsoft accounts for work?

It is not advisable. Personal Microsoft accounts fall outside the business's Microsoft 365 tenant, so they cannot be centrally secured, backed up, licensed for Copilot, or recovered if an employee leaves. Every work account should be created and administered under the company tenant.

How often should the standard software build be updated?
