This guide sets out how a business decides whether to outsource its IT, which functions to hand over, how to compare providers and what to insist on in the agreement.

Step 1 — Establish what is actually wrong

Outsourcing fixes capability and continuity problems. It does not fix unclear ownership, unfunded technology or unrealistic expectations. Write down the three problems you want solved — slow response, security exposure, no strategic advice, unpredictable cost — before approaching anyone.

Step 2 — Decide the model

  • Full outsourcing: the provider runs the IT function end to end.
  • Co-managed: your internal IT person keeps user relationships; the provider supplies monitoring, security and specialists.
  • Selective: outsource specific functions such as cyber security, Microsoft 365 administration or backup.
  • Project only: bring in expertise for defined work, then return to business as usual.

Step 3 — Compare providers on evidence, not promises

  • Ask for written service levels by incident priority, and how they are measured.
  • Ask who owns your Microsoft 365 tenant, domains and administrator accounts (the answer must be you).
  • Ask what monthly reporting looks like — request a redacted example.
  • Ask how backups are tested, and how often restores are actually performed.
  • Ask what happens at the end of the contract, in writing.
  • Ask which work is delivered locally and which remotely.

Step 4 — Plan the transition

The first 90 days determine whether outsourcing succeeds. Expect a documented environment audit, a prioritised remediation list, transfer of administrative access under your control, an agreed communication route for staff, and a review at day 30 and day 90.
